Tracking payments against projects

Do I need to record payments against projects in Autotask?

Probably not.

The Project Payments option allows you to track the receipt of payments against a project in Autotask, but this is pretty much a dead end. Autotask is not accounting software, so most customers will record payments in their accounting software. Also note that Project Payments will not be displayed on any reports, because Autotask views revenue from an accrual, not a cash perspective, and considers billable items revenue as soon as they are posted.

Applying payments

To apply a payment, do the following:

  1. To open the page, use the path(s) in the Security and navigation section above.
  2. Enter the amount received into the Add Payment column
  3. Check the Apply Payment check box
  4. Click the Save button. The page will be refreshed and the payment will be added to the Total Payments To Date column.

The Total Payments To Date will also appear on the Budget tab of the Edit Project page.
