Special billing scenarios for recurring contracts

Billing for a partial first month

The contract start date is always the billing date. If you would like to start the contract mid-month, but still want to bill on the first of each month, do the following:

  1. Create a recurring service contract with a start date of the 1st of the current month, but do not add any services.
  2. Finish setting up the contract with all the information except for the services.
  3. Open the contract and add services and bundles with an effective date of the 15th (or any other date) of the current month.

The license fees are automatically prorated for the remainder of the billing period (the 15th though the end of the current month), but the billing date will be the first of the month.

Billing for next month's recurring services

If you would like to bill for next month's services up front, for example the 15th of the prior month, do the following:

  1. Create a recurring service contract with a start date of the 1st of the current month, but do not add any services.
  2. Finish setting up the contract with all the information except for the services.
  3. Open the contract and add services and bundles with an effective date of the 1st of the next month.
  4. Navigate to Contracts > Approve & Post > Recurring Contracts.
  5. Enter a date range that includes the 1st of the next month, which is the next billing date, and approve next month's services.
  6. On the Items to Invoice page, filter by Contract Type "Recurring Service" and enter the same date range.
  7. Generate your invoices.

NOTE  You may want to create a Contract Category of Managed Services and apply it to all contracts you want to bill upfront, for easy filtering on the Approve & Post and Invoicing / Items to Invoice pages.
