Rules...
Price data (but not cost data) is stored in two currencies:
- The customer currency of the organization being billed. This is the amount that will actually be invoiced.
- The internal currency. This amount will be used for revenue tracking and reporting.
The following fields on the Approve & Post, Labor Adjustments, Un-Post, Items to Invoice and Invoice History pages are displayed in the customer currency:
- Amount, Amount Billed, Billed Amount
- Billable Amount, Adjusted Billable Amount, Total Billable Amount before Adjustments
- Unit Discount, Line Discount
- Unit Price, Price, Extended Price, Period Price, Total Price
- Sub-total, Total, Grand Total, Grand Total Before Tax
- Tax, Tax Detail
- Rate
- Contract Balance fields
Since the expected revenue is based on the amount billed in the customer currency, the amount in the customer currency is the "real" number. In Approve & Post, this is the number that can be adjusted.
On the Approve & Post tabs, additional columns that display the amounts in the internal currency are made available through the column chooser:
- Amount (Internal)
- Billable Amount (Internal)
- Hourly Rate (Internal)
- Extended Price (Internal)
The Internal amounts are calculated from the customer currency amounts, and are read-only. They can optionally be updated when the exchange rate is updated, the customer currency price for an item is changed, or the Approve & Post page is loaded.
NOTE Note that for revenue reporting, the internal currency values are used.
The Approve & Post and Invoicing/Items to Invoice pages both make the customer currency available as a filter. Only items for organizations that are associated with the selected currency are displayed.
All currency fields display a Currency indicator, so there is no guessing what currency you are dealing with. If you click the currency indicator, a Currency translation box displays the amount in the other currency using the current exchange rate.
NOTE You cannot copy a contract to an organization with a different currency.
