Multi-currency in the Client and Subcontractor Portals

Client Portal

All currency fields in the Client Portal are displayed in the customer currency of the client, using the display symbol of the customer currency.

If the symbol or currency values change in Autotask, then so will the data presented in the Client Portal. Make sure you discuss the planned currency change with all affected customers.

Subcontractor Portal

Currency values in the Subcontractor Portal will always be displayed and recorded in the outsourcer's internal currency, and use the outsourcer's currency display symbols and positive and negative formats.

All emails sent via the subcontractor portal that contain currency use the display symbol of the outsourcer's internal currency. The three-letter name will be displayed for currencies whose display symbols are set to multi-byte characters.

Charges from the subcontractor portal are accepted into the outsourcer's Autotask instance with the assumption that they are in the internal currency of the outsourcer.

  • If they are billable to an organization associated with a customer currency, the Billable Amount in the customer currency is calculated from the Billable Amount (internal) field, using the current exchange rate
  • Labor delivered from the subcontractor portal is converted into a charge based on the role rate chosen for the subcontractor. However, if the labor is billable, the rate used will be the rate specified for the role in the customer currency of the account to be billed. If no rate exists for the currency in question, the rate used will be the rate in the internal currency divided by the current exchange rate.

Outsourcing between Autotask instances

When outsourcing between two Autotask instances, currency amounts will always be passed between the systems in the internal currency. The Billable Amounts of charges will be calculated on the insourcer's end using the exchange rate at the time the ticket is accepted from the outsourcer.

If the insourcer does not currently have an account configured for the outsourcer when a ticket is accepted, an account is automatically created for them. If the insourcer has Multi-currency enabled, this account will be set to use the internal currency of the insourcer by default.

TIP  Change the currency for the outsourcer's account to match the outsourcer's internal currency before any items are approved and posted. This will make invoicing the outsourcer a lot smoother.
