About sales orders

The Sales Order allows you to track quoted products after the quote is accepted and the deal is closed. Whether they ship to the customer directly from inventory, or go through the procurement process, you will know when each charge is approved, purchased, received, and shipped until your sales order is fulfilled. You can access the sales order directly from the opportunity or from the CRM Sales Orders page. Refer to Introduction to Inventory.

NOTE  If the Kaseya Quote Manager (formerly Datto Commerce) integration is enabled, any sales orders that are created in Kaseya Quote Manager can be accessed from the Kaseya Quote Manager Sales Order insight on the ticket.

When the Won Opportunity Wizard or Won Quote Wizard creates the sales order, they collect all the basic sales order information in one place. You can edit some of the information, including the dates and status. You can also specify Ship to and Bill to addresses, add values to related user-defined fields, and set up notifications to send when the order is edited. The Sales Order detail view provides access to all organization Your Autotask instance may be configured to use one of the following terms instead: Account, Business Unit, Client Company, Customer, Site. and opportunity information, the quote items list, and lists of associated tickets, attachments, and purchase orders. All notes, to-dos, and ticket notes associated with the opportunity are available in the notes feed. From here you can respond to items in the notes feed and add your own notes. You can also add items to the sales order from the Items view. Refer to The Sales Order Detail page.

How sales orders are generated

For a sales order to be created, Procurement must be activated, you must have an opportunity with an associated quote, and the quote must include one or more product type quote items.

To generate the sales order for the opportunity and quote, your must run the Won Opportunity Wizard or Won Quote Wizard to close the opportunity. On page two of the Won Opportunity Wizard, you must select the option to activate a proposal project, create a recurring service contract, or create a ticket in the Post Sale queue. Then select the check boxes to convert products to project, ticket, or contract charges. The Won Quote Wizard generates the sales order automatically if the quote contains quote items that are converted to billing items.

When you finish the wizard, it automatically generates the sales order. The sales order appears in the list Summary of Actions to Perform found on the last page of the Won Opportunity Wizard, where you click Finish. On the Won Quote Wizard, it appears on the last page of the wizard, after you click Finish. There are no additional settings required. NOTE  A sales order can be generated only if the status of the opportunity is not Closed. If you need to recreate a sales order, the status of the opportunity has to be changed to Active first.
